Table Tennis Ireland (“TTI“, “we“, “us“, “our“) is the national governing body for the sport of table tennis on the island of Ireland. We are committed to protecting your personal data and respecting your privacy rights under the EU General Data Protection Regulation (Regulation (EU) 2016/679) (“GDPR“), the Irish Data Protection Act 2018, the UK GDPR and Data Protection Act 2018 (for visitors in the UK / Northern Ireland), and the European Communities (Electronic Communications Networks and Services) (Privacy and Electronic Communications) Regulations 2011 (S.I. 336/2011) (“ePrivacy Regulations“).

This Privacy Policy explains what personal data we collect about you when you use https://tabletennisireland.ie (the “Site“), how we use it, who we share it with, and the rights you have in relation to your personal data.

1. Who we are (Data Controller)

TTI is the data controller in respect of the personal data processed via this Site. We have not appointed a statutory Data Protection Officer as we are not legally required to do so; the CEO acts as our designated privacy contact.

2. What personal data we collect

We collect only the data we need to operate the Site, communicate with you, and deliver our services as the national governing body:

Contact data: name, email address, phone number and message content when you complete a contact form or email us.
Account / membership data (where applicable): name, date of birth, address, club affiliation, playing licence number, photograph, and other information you supply when registering on the Site or for an event.
Event & competition data: entries, results, rankings and ratings.
Technical data: IP address, device and browser information, pages viewed, referring URL, and timestamps, collected via server logs and (with consent) analytics cookies.
Comment data: the data you submit when posting a comment, including IP address and browser user-agent string, used solely for spam detection.
Correspondence: records of any communication you have with us.

We do not process payment-card data through this Site, we do not operate online registration for junior (under-18) members through this Site, and we do not process Garda vetting or safeguarding data through this Site (those processes are handled offline through our member clubs and TTI staff).

3. Why we use your personal data and our lawful basis

Under Article 6 GDPR we rely on the following lawful bases:

Contract (Art. 6(1)(b)): to administer your membership, event entry or affiliation with TTI.
Legitimate interests (Art. 6(1)(f)): to operate, secure and improve the Site, prevent fraud and abuse, respond to enquiries, and promote the sport of table tennis in Ireland. You can object at any time (see Section 8).
Legal obligation (Art. 6(1)(c)): to comply with our obligations under Irish, EU and UK law, including data-protection, accounting and sport-governance obligations.
Consent (Art. 6(1)(a)): for non-essential cookies and similar technologies, and for any optional marketing communications. You can withdraw consent at any time without affecting prior processing.

4. Cookies and similar technologies

The Site uses cookies and similar technologies. Non-essential cookies (analytics, marketing, embedded media) are loaded only after you provide consent through our cookie banner. You can change your choices at any time via the “Cookie Settings” link in the footer. Full details — including the name, provider, purpose, category and duration of every cookie — are set out in our separate Cookie Policy.

4a. Google Analytics 4 and Google Signals

We use Google Analytics 4 (“GA4”), provided by Google Ireland Ltd, Gordon House, Barrow Street, Dublin 4, Ireland, to understand how visitors use the Site. Our GA4 measurement ID is G-TYMYJX5KL4. Event and user data are retained for 14 months. GA4 anonymises IP addresses by default and we do not enable user-ID stitching.

We have also enabled Google Signals. For visitors who are signed in to a Google account and have switched on “Ads Personalisation” in their Google account, Google Signals associates session and device information across devices and enables aggregated demographic and interest reporting (such as age band, gender and interest categories). No individual visitor is identifiable to TTI through these aggregated reports.

Legal basis: your consent, given via our cookie banner (Article 6(1)(a) GDPR; Regulation 5(3) of the ePrivacy Regulations 2011). You can withdraw consent at any time by re-opening “Cookie Settings” in the footer, installing the Google Analytics Opt-out Browser Add-on (tools.google.com/dlpage/gaoptout), or adjusting your Google Ads Settings at adssettings.google.com. Google’s own privacy policy is available at policies.google.com/privacy.

We have also linked our GA4 property to Google Search Console for the domain tabletennisireland.ie so that aggregated Google search query data (queries, impressions, clicks and average position) is available within our GA4 reporting environment. No personal data about individual searchers is shared.

5. Who we share your data with (recipients and processors)

We do not sell your personal data. We share it only with the following categories of recipients and only to the extent necessary:

Hosting provider: Hostinger International Ltd (EU hosting) — provides web hosting infrastructure for the Site.
Content delivery & security: Cloudflare, Inc. — delivers, caches and protects the Site (DDoS mitigation, TLS encryption). Cloudflare may process IP address and request metadata as a processor on our behalf.
Email provider: Microsoft 365 (Microsoft Ireland Operations Ltd) — used for our @tabletennisireland.ie email and any correspondence you initiate with us.
Public authorities and regulators: where we are required to disclose information by law (for example, the Revenue Commissioners, An Garda Síochána or a court order).
Affiliated bodies (offline): the European Table Tennis Union (ETTU) and the International Table Tennis Federation (ITTF) for international entries — processed offline rather than through this Site.

All processors are bound by a written data-processing agreement that meets the requirements of Article 28 GDPR.

6. International transfers

Our primary infrastructure (hosting and email) is located in the European Economic Area (“EEA“). Some of our processors (such as Cloudflare) operate global networks that may involve transfers of personal data to countries outside the EEA, including the United States. Where this occurs, we rely on appropriate safeguards under Chapter V GDPR — typically the EU Commission’s Standard Contractual Clauses (2021/914) supplemented where necessary, and/or certification under the EU-U.S. Data Privacy Framework. You can request a copy of the relevant safeguards by contacting us.

7. How long we keep your data

Contact-form enquiries: up to 24 months after the last contact, unless a longer retention is justified.
Member / event records: for the duration of the membership or event, plus 7 years for accounting and statutory purposes.
Comment data: retained indefinitely so we can recognise follow-up comments; you may request deletion at any time.
Server & security logs: typically up to 12 months.
Cookie consent records: 12 months (the lifetime of the consent record), in line with Data Protection Commission guidance.

8. Your rights under the GDPR

Subject to the conditions set out in the GDPR, you have the following rights in relation to your personal data:

Right of access (Art. 15) — obtain a copy of the personal data we hold about you.
Right to rectification (Art. 16) — correct inaccurate or incomplete data.
Right to erasure (Art. 17) — ask us to delete your data where the legal conditions are met.
Right to restriction of processing (Art. 18).
Right to data portability (Art. 20) where processing is based on consent or contract and is carried out by automated means.
Right to object (Art. 21) to processing based on legitimate interests, including profiling.
Right to withdraw consent at any time, without affecting the lawfulness of processing carried out beforehand.
Right not to be subject to automated decision-making (Art. 22). We do not carry out automated decision-making or profiling that produces legal or similarly significant effects on you.

9. Right to complain to a supervisory authority

If you are not satisfied with how we have handled your personal data, you have the right to lodge a complaint with a supervisory authority:

We would, however, appreciate the opportunity to address your concerns before you contact a supervisory authority.

10. Children’s data

The Site is not directed at children and we do not knowingly collect personal data from children under 16 (the digital age of consent in Ireland under section 31 of the Data Protection Act 2018). Junior membership and competition entries are processed offline through our affiliated clubs with the appropriate parental consents. If you believe a child has provided us with personal data through the Site, please contact us and we will delete it.

11. Security

We use technical and organisational measures appropriate to the risk, including TLS encryption in transit (HTTPS), access controls, regular software updates, server-side caching with object cache, and reputable EU-based hosting. No method of transmission over the Internet is 100% secure, so we cannot guarantee absolute security.

12. Embedded third-party content

Pages or posts on the Site may include embedded content (for example, videos, social-media posts or maps). Embedded content from other websites behaves in the same way as if you visited the source website. These third parties may collect data about you, use cookies, embed additional tracking and monitor your interaction with the embedded content. We block such content by default until you accept the relevant cookie category in our banner.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in law or in how we operate. We will publish the revised version on this page and update the “Last updated” date at the top. Where the changes are material, we will take reasonable steps to bring them to your attention.
